Our Business Terms & Conditions

Contract
A contract begins when client verbally agrees to accept the holiday arrangements South Africa Sun has proposed.  Once agreed, South Africa Sun confirms all travel arrangements and excursions as defined in the proposed quotation.

Substitution
South Africa Sun LLC reserves the right to substitute any property that is not available with either comparable or higher standard accommodation.

Cancellation Policy
All hotels have cancellation clauses and we will specify the cancellation terms of each hotel used.    Once the terms are disclosed, the holidaymaker will adhere to those policies.    South Africa Sun bears no responsibility for any costs incurred by cancellations after bookings have been confirmed.

Booking Fee
Our Booking Fee is calculated as 10% of the total cost of the holiday subject to a minimum of $1,200.

Deposit
The full costs of all flights are paid to third party consolidator at the time of the booking. Once flights are confirmed, a detailed invoice will then be sent out to client requiring a non-refundable deposit of 25% of the total cost of the holiday minus the flights.  After Deposit is paid, the balance will be due 60 days prior to departure.  If your booking is made within 60 days of departure, payment in full is required upon booking.

Travel Insurance
We strongly urge our clients to take out travel insurance at the time of booking to cover any cancellation costs due to unforeseen circumstances.

Calculation of Bills
All hotels charge in Rand.  (South African Currency).  The Rand fluctuates daily and the bill will be converted from Rand to Pounds twice.  Once when the original booking occurs to give you an estimate of what the total bill will be.  The second time will be 70 days prior to departure when the balance is due.  At this time, the total bill is recalculated and the total amount due will be determined.  We will then subtract the deposit paid and send an invoice that will be due upon receipt.  This is the balance due 60 days prior to departure.

Payment
After bill is sent out, payment is due upon receipt.   If payment is not received, the deposit is forfeited and holiday is considered to be cancelled and the accommodation providers, car rental companies and any airline companies will be duly notified.   Any monies due as a result of this cancellation will be the responsibility of the client.

Credit Card
As we are a small company, we prefer payment by personal check.  We are sorry for this inconvenience.

Calculation of Exchange Rates
We take the middle market price less 5% at the time we calculate the invoice. This equates to a fairly competitive rate compared to the buying and selling prices of most high street banks and travel agents. We source the middle market price from two main sources, Factset and www.xe.com.
